Add your own account

If the standard chart doesn’t have an account you report on — “Software Subscriptions”, say, or a second sales account — add it. Once it’s added, you can pick it on catalogue items, expense categories and bill lines, and it shows on your reports.

  1. Open Settings › Chart of accounts — Open your user menu, choose Settings, and pick Chart of accounts under Money & tax.

  2. Press Add account — It’s at the top right of the pane. The Add account dialog opens.

  3. Enter a code — Code is a number that isn’t used yet, such as 6950. The standard chart uses 1000s for assets, 2000s for liabilities, 3000s for equity, 4000s for income and 5000s–6000s for expenses, so a code in the right range keeps your list tidy.

  4. Enter a name — Name is what you’ll see in pickers and on reports, such as “Software Subscriptions”.

  5. Choose a type — Type is Asset, Liability, Equity, Income or Expense. It starts on Expense.

  6. Press Add account — The account is listed in its group straight away.

  • The code is already in use — you see “Could not create this account.” with the reason. Pick another code.
  • Code or name is empty — Add account stays turned off until both are filled in.
  • New accounts aren’t system accounts, so you can rename them later.
  • Accounts can’t be deleted, so check the code and type before you add one.
  • An account’s balance comes from the entries posted to it; there’s no balance to type in here. To start an account with a balance from your old books, see Enter your opening balances.
