Send a quote to a customer

Sending is the moment a draft becomes a real quote. It gets its permanent number, it can no longer be edited or deleted, and the customer receives an email with the PDF and a link to read and answer it online, without an account.

  1. Open the draft — Go to Quotes and open the draft. (In the builder, Save and send saves the draft and takes you to this step.)

  2. Press Send quote — The send dialog opens with To, Subject and Message filled in from your quote email template. The highlighted words are this quote’s details; Spine fills them in. Changes here apply to this email only.

  3. Check the attachment — Leave Attach the quote PDF ticked to attach the PDF.

  4. Send — Press Send quote. A toast says Quote marked as sent: the quote is now issued, and the email is on its way.

By default the subject reads “Riverstone Builders sent you a quote (QUO-0012)”, with your business name and the quote number. The email has a View quote button that opens the quote online, and the PDF attached. See Let a customer accept or decline online.

  • While it’s going, the quote’s page says “Sending email to” the contact.
  • Once it’s gone, the quote’s Activity shows Emailed to the address.
  • If it failed, the page shows Email failed with the reason. Owners can follow See it in the email log to retry it.
  • If your mail server is down, the quote is still sent: the email waits in the queue and is retried. See Email.
  • Email again (under More, for a sent quote) sends another email.
  • Copy customer link copies the link to the customer’s page so you can share it another way. A toast says Link copied and “It works for 30 days, or until you revise the quote.”

Every link you’ve sent keeps working until it’s 30 days old or you revise the quote. Sending again never breaks an earlier link.
