Log an expense with a receipt

Log fuel, materials or meals as soon as you pay, with a photo of the receipt. The expense goes to your office for approval. With no signal, it’s saved on the phone and sent later. If your business uses the AI assistant, the app can read the receipt and fill in the form for you.

  1. Start a new expense — Press Log expense on Today, or on Expenses press + (iPhone) or Log expense (Android). Scan receipt on Today opens the receipt camera straight away.
  2. Add the receipt — Under Receipt, choose Take a photo or Choose a photo. The camera shows a frame: “Fit the whole receipt inside the frame”.
  3. Read it with AI (optional) — Press Read receipt. Amount, Date, Category and Description fill in, each tagged Suggested by AI. Check them; you can change any of them.
  4. Fill in the rest — Enter Amount (in your business’s currency), choose a Category, the Job it’s for (or No job), the Date, and Paid by: Me — pay me back or Company. Add a Description. Job isn’t there when Jobs & field is off.
  5. Submit — Press Submit.

“Your office approves it before it’s paid back. No signal? It’s saved and sent later.” You don’t choose which account paid; your office sets that when it approves.

What happens next

The expense shows under Waiting to sync on Expenses until it sends, then as Submitted. See Check your expenses.

If something’s missing

  • No category: “Choose a category.”
  • No amount, or zero: “Enter an amount above zero.”
  • A receipt photo that’s too big: “This photo is over 10 MB. Retake it closer, or choose a smaller one.” You see this before the expense is saved.

About reading receipts

  • Read receipt needs a connection. Offline, it’s shown greyed out with “Needs a connection — fill it in, or read it later.”
  • It only fills in what you haven’t typed yet. If there’s more it could change, it offers Replace my entries (n).
  • If the receipt is in another currency, the amount isn’t filled in. Enter it in your business’s currency.
  • It never changes Job or Paid by.
