See what an agent can do

A connected agent works as you, and can only read and draft. Ask in your own words; the agent chooses which of Spine’s tools to use.

Who can do this

Anyone with a connected agent. What it can do depends on your role, your Teams’ permissions and the modules that are on. Report tools need the matching report permission, such as View receivables.

Find and read records

• Search — like Spine’s own search: contacts by name, phone, tax ID or person; documents by number or amount; leads, jobs and catalogue items.
• Lists — of any kind of record you can open, filtered by status, contact, job, dates or overdue. Newest first, 25 at a time and at most 100.
• One record — by its number or link, as its page shows it: lines, tax, totals, balance, status, dates and its Spine link.

Anything you can’t open in Spine, the agent can’t either. If your Teams can’t open invoices, it’s told “You don’t have permission to open invoices.”

Ask about money and the business

With the matching permission, the agent can read receivables (who owes you, by age), payables, profit and loss and the balance sheet for a period, job profitability, bank balances and the dashboard summary. The figures are exactly the report’s in Spine, for the same period and basis.

Start work as drafts

If you allowed drafts when you connected, and the Owner allows them, the agent can:

• Create a lead, with the enquiry as its first note, adding the contact if it’s new.
• Draft a quote — catalogue items take their price and tax unless a price is given, and Spine works out the totals. The agent gives you the link to open it, check it and send it.
• Draft a vendor bill — never recorded, so nothing reaches the books.
• Add a note to a contact, lead or job you can change. Field users can add notes to their assigned jobs.

Each draft is yours, and its Activity names the agent.

Caution

Agents can’t issue, send, record, approve, void, match, delete or change an existing record. There’s no tool for it. You finish every draft in Spine, with that screen’s own confirm.

Ready-made tasks

Agents that show ready-made prompts offer Chase overdue invoices (it suggests what to send; you send it from Spine), Summarise a job and This week in the business, where your permissions allow them.

Field users

A Field user’s agent reads only contacts, the catalogue, their assigned jobs without money, and their own expenses. It never gets a money figure or a report.

Limits

One agent can create up to 30 drafts an hour (“Too many drafts from this agent. Try again later.”) and make up to 120 requests a minute. A repeated request never creates a second draft.
