Hold and release retention

Retention is the share of each progress claim the customer keeps back until the work is signed off. Spine works it out on every progress invoice for you and keeps it separate from what the customer owes now. When the defect period ends, you release it as an invoice so you actually collect it.

Enter Retention % when you start the job (Start a job), or later in Edit job under Advanced (retention) (Edit a job’s details). It’s held back from each progress invoice you raise from a milestone after that.

For a job with 5% retention, a progress invoice for 10,000.00 holds back 500.00:

  • The invoice shows Retention held (5%) as a negative row, then the amount due, 9,500.00. Its PDF and email show the same rows.
  • The 500.00 sits in Retention Receivable on your Balance Sheet, not in Accounts Receivable.
  • Receivables aging leaves held retention out of its buckets.

A job with 0% retention shows no retention row. The Retention held card on the Jobs list adds up what’s held across your jobs.

  1. Open the job — Go to Jobs and open the job. Once the job is Completed and retention is held, the main button is Release retention. Before that, it’s under More.
  2. Read the confirmation — “Release retention?” says a retention-release invoice will be created for the amount still held on this job’s issued progress invoices.
  3. Confirm — Press Release retention. A toast says “Retention released” and “A retention-release invoice has been created for this job.”

  • It creates an issued invoice for the held amount, with its own invoice number, due on your usual payment terms. Find it in Invoices and send it to the customer.
  • The amount moves from Retention Receivable to Accounts Receivable. It isn’t counted as revenue again: that was counted on the progress invoices.
  • It doesn’t count towards the job’s billed to date and gets no progress claim number.

Only retention on issued progress invoices counts. If nothing is held, the button isn’t shown, and a release that finds nothing says “Could not release retention for this job.”
