Send a customer a statement

A statement brings everything a customer owes into one document, so they can check it against their records and pay in one go. It lists each invoice, payment and credit in a period with a running balance, and shows how old the unpaid amounts are.

  1. Open the customer — Go to Contacts and open the customer. You can also choose Send statement from the customer’s row in Receivables.

  2. Press Send statement — Send a statement opens.

  3. Choose the period — Pick Period: Last 30 days, Last 90 days, This year or Custom (then pick From and To date).

  4. Choose what to show — Under Show, pick Open invoices only or All activity.

  5. Check the summary — It shows the opening balance, Invoiced, Paid and credited and Balance due for the period.

  6. Check the email — Check To, Subject and Message.

  7. Send — Press Send statement. To get the PDF without emailing it, press Download PDF instead.

A toast says “Statement sent to” the address, and the contact’s timeline records it.

  • A header with your business, “STATEMENT”, the period, “Statement for” the customer with their address, and Balance due.
  • A table with Date, Reference, Type, Charges, Payments and Balance, starting from the opening balance. Credit notes show as credits, and refunds as charges.
  • An aging strip: Current, 1–30 days, 31–60 days, 61–90 days and 90+ days.
  • Your payment instructions, at the bottom, if you’ve set them.

With Open invoices only, paid invoices and their payments are left out, and there’s no opening balance.
