Use catalogue items on quotes and invoices
On a quote, invoice or bill line, type to search the catalogue and pick an item. Its name, description, price and tax are copied onto the line. You can change them on that line without touching the catalogue.
- Start a line — On the quote or invoice, go to an empty line and type in Item (“Item name — type to search the catalogue”).
- Pick a match — The list shows matching Items with their price and unit, and Bundles with the lines they add, such as “Adds 3 lines: …”. Choose one.
- Check the line — The name, description, unit price and default tax fill in. For a bundle, each of its items is added as a line.
- Change it if you need to — Change the quantity, price or tax on this line. The catalogue item doesn’t change.
Add a line that isn’t in the catalogue
Section titled “Add a line that isn’t in the catalogue”- Type the name — Type a name that matches no item. The list offers “Use “…” as a one-off line”.
- Save it for next time — To add it to the catalogue as well, tick Also save to catalogue.
- Choose the line — Choose the one-off line, and fill in its price and tax.
When you save the quote, a line marked Also save to catalogue that has a price becomes a new item, with unit “each” and the line’s tax. A line without a price stays a one-off line. Without the right to add catalogue items, Also save to catalogue isn’t shown, but one-off lines still work.
Documents keep their own copy
Section titled “Documents keep their own copy”- A document copies the item’s details when you add the line. If you change the item’s price later, existing quotes and invoices still show the old price.
- An issued invoice never changes: its PDF a year later is the same as the day you issued it.
- Deleting or archiving an item doesn’t change the documents that used it.
For building and sending quotes, see Quotes. For invoices, see Invoices and credit notes.
