Choose who can change contacts and leads

Every Staff member who can open Contacts or the pipeline can read every contact and lead. What they can change is set per Team, in four separate groups: contacts, contact persons and addresses, leads, and activities. This lets a junior add customers without altering a colleague’s records.

  1. Open the Team — Go to Teams in the sidebar (or Settings › Teams) and open the Team.
  2. Open its permissions — Choose the Permissions tab.
  3. Turn rights on or off — Expand Manage Contacts, Manage Leads or Manage Activities and switch each right. Everything in … turns a whole group on or off.
  4. Save — Press Save changes and confirm. Members get the new rights at their next request, without signing out.

“Own” means records the person created. “Others’” means records someone else created, and records with no recorded creator.

  • Manage Contacts: Open Contacts, Create/edit own contacts, Edit others’ contacts, Archive/delete own contacts, Archive/delete others’ contacts, Manage contact persons and Manage contact addresses.
  • Manage Leads: Open Pipeline, Create/edit own leads, Edit others’ leads, Delete own leads and Delete others’ leads.
  • Manage Activities: Create/edit own activities, Edit others’ activities, Delete own activities and Delete others’ activities.
  • Create/edit own contacts also lets someone add contacts. Without it or Edit others’ contacts, Add contact is hidden.
  • Manage contact persons and Manage contact addresses need the right to edit the contact as well. With only one of them, the other tab is read-only.
  • A lead’s creator keeps the right to edit it when you change its Owner on the board.
  • Edit others’ activities is what lets someone tick off a colleague’s follow-up. Without it, the box is greyed out.
  • Rights for contacts, leads and activities are separate. Full contact rights don’t let someone move a colleague’s lead.
