Bring in unpaid vendor bills and credits

Bring in each bill you still owe on the cutover date, one by one. They show on Payables with their due dates, and you pay them with a vendor payment like any other bill. Credit notes vendors gave you that you haven’t used come in too.

  1. Open the Vendor bills tab — Open Opening balances (from Settings › Opening balances) and choose Vendor bills.

  2. Press Add bill — Add opening bill opens: “An unpaid bill from your old system, as it stood on the cutover date.”

  3. Fill it in — Choose the Vendor, then enter the Bill number (the vendor’s number), Bill date, Due date and Amount due.

  4. Press Add bill — It’s listed, and the totals at the top update.

Press Import from CSV and choose a file with “One row per unpaid bill from your old system.” Match your columns to vendor name, bill number, dates and amount due, pick the Date format, and press Import (for example Import 12 bills). Vendors are matched by name; for names that don’t match, press Create these vendors or Fix the file.

On Vendor credits, press Add credit and fill in Add opening vendor credit: the Vendor, the Amount and, if you have it, the Vendor’s credit note number. Press Add credit. These are “Credit notes from vendors you hadn’t used on the cutover date. Apply them to the vendor’s bills or record the refund they pay.”

  • They act like real bills. “Opening bills keep the vendor’s numbers, have no lines or tax, and show on Payables to be paid like any other bill.” In Bills they carry an Opening balance badge. Attach the original to each one.
  • Edit and Remove are on each row. Removing reverses its entry and takes it out of your opening balances; you can add it again.
  • The totals feed Accounts Payable. On Account balances, Accounts Payable shows “From opening bills” with their total.

For paying these bills, see Purchases and expenses.
