Change someone's role

People’s jobs change. A crew member moves into the office, or a manager becomes a partner. Change their role instead of inviting them again — their sign-in and their history stay with them. Every role change asks first, says what happened in a toast and is recorded in the audit log.

  1. Open the person’s menu — On Team › Users, open the row menu and choose Change to Staff (for a Field member) or Change to Field (for a Staff member).

  2. Read the confirm — “Change Marcus Webb to Staff?” says they’ll have their Teams’ access instead of Field access. Under Teams they’ll be on, tick their Teams; General Staff is ticked to start with. Changing to Field says they’ll only see the jobs they’re assigned to, without money, and names the Teams they’ll come off.

  3. Confirm — The change applies the next time they open Spine.

An Owner can’t be changed to Field directly. Demote them to Staff first.

  1. Choose Promote to Owner — It’s only on Staff members’ menus. To promote a Field member, change them to Staff first.

  2. Confirm with Make owner — “Make name an owner?” explains that Owners have full access to everything in the business — every record and report, plus Users, Teams and Settings — and that Team permissions no longer apply to them. Press Make owner, or Cancel to change nothing.

The toast says “name is an owner” and they can open everything now.

Choose Demote to Staff on another Owner’s menu. “Demote name to Staff?” explains they lose Owner access at once and keep any Teams they’re on; with none, they can’t open anything until you add them to one. Press Demote.
