See what you're notified about

Spine sends a notification when something happens that someone needs to act on or know about. Who receives it depends on their role and what they’re allowed to see, so nobody learns about records they can’t open.

Owners and Staff hear when:

  • A customer views, accepts or declines a quote online, or a quote is accepted or declined in person.
  • A customer accepts a variation order — apply it to the job.
  • A payment is received, for example “Harbour Homes paid $1,250.00.”

Field users never get notifications about payments or other money.

  • Milestone completed — Owners and Staff get “Milestone “Framing” completed on job“, in the app and by email.
  • Expense approved or rejected — the person who submitted it hears “Sarah Mendes approved your expense” (or rejected, with the reason). Owners and Staff also see “Expense approved — category, amount”.
  • Crew changes — a Field user hears when they’re added to or removed from a job’s crew.
  • Invited — you get an email, “You’ve been invited: meeting title”, and a notification.
  • Removed or cancelled — you’re told you’re no longer invited, or that the meeting or one occurrence was cancelled.
  • Response changed — the organiser hears when an invitee changes an earlier answer. Their first answer doesn’t notify anyone.
  • Starting soon — a reminder before meetings you organise or have accepted. See Set your meeting reminders.

A private meeting only ever notifies its organiser and attendees.

  • Recurring drafts — “Recurring invoice ready to review” or “Recurring bill ready to review”, when a schedule makes a draft.
  • AI budget — when AI has used 80% of this month’s budget, and when it’s paused. See The AI assistant.
  • Problems Spine finds — for example if stored files are damaged or the books don’t balance.

If an Owner disconnects an AI agent you connected, you’re told who disconnected it. See Connected agents.
