Bill an expense to a customer
Some costs are the customer’s to pay — a permit fee, a skip hire, materials bought for their job. Mark the expense Billable to a customer when it’s submitted. Once it’s approved, Spine can put it on a new draft invoice for the job’s customer in one step, and marks the expense billed so it isn’t billed twice.
-
Find what’s ready to bill — Go to Expenses and press the Ready to bill card. It lists approved, billable expenses that aren’t on an invoice yet.
-
Open the expense — Its Billable figure reads “Ready to bill to the job’s customer”, and Bill to customer is the main action. You can also choose Bill to customer from the row’s menu on the list.
-
Press Bill to customer — “Bill this expense to the customer?” says a new draft invoice for the full amount is made for the job’s customer, and the expense is marked billed. You’ll go to the invoice to check and send it.
-
Create the invoice — Press Create invoice.
A toast says “Invoice drafted” and the new draft invoice opens, with the expense as a line. Check it, add anything else, then issue and send it as usual — see Invoices.
Back on the expense, the state reads Billed and Billable reads “Billed on” with the invoice number as a link. Bill to customer isn’t offered again. The expense’s Activity adds “Billed on” the invoice.
When it can’t be billed this way
Section titled “When it can’t be billed this way”- No job. A billable expense with no job has no customer to bill. The page says “This expense is billable but has no job, so there’s no customer to bill it to. Add it to an invoice by hand.”
- Not approved yet. While it’s waiting, Billable reads “Billed once approved”.
- Not billable. Billable reads “Not billed to a customer” and no billing action is offered.
