Edit, duplicate, archive or delete an item
Keep the catalogue tidy as your prices and services change. Edit an item when its price goes up, duplicate one to add a variation, and archive what you no longer sell so pickers stay short.
Edit an item
Section titled “Edit an item”- Open it — Go to Catalogue, open the item’s menu and choose Edit. The Edit item drawer opens.
- Check where it’s used — The drawer says “Used on 4 quotes and 2 invoices · last quoted 3 Oct 2026”, or “Not used on a quote or invoice yet.”
- Change it — Change the details, price, tax or accounts.
- Save — Press Save item. An “Item updated” toast shows.
A new price or tax applies to new lines only. Quotes and invoices you’ve already made keep the price and tax they were made with. Press View history in the drawer to see who changed what.
Duplicate an item
Section titled “Duplicate an item”Open the item’s menu and choose Duplicate. The Add item drawer opens filled in from that item, named “… (copy)”. Change what’s different and press Save item. The original stays as it was.
Archive or restore an item
Section titled “Archive or restore an item”Open the item’s menu and choose Archive. An “Item archived” toast shows. The item leaves the list and the pickers on quotes, invoices and bills, but nothing about it is lost.
To bring it back, filter by Archived status, open its menu and choose Restore.
Delete an item
Section titled “Delete an item”- Choose Delete — Open the item’s menu and choose Delete.
- Read the confirmation — Spine asks “Delete …?”. For an item that’s been used, it says how many documents it’s on, and that they keep their own copy of the line.
- Confirm — Press Delete, or Cancel. An “Item deleted” toast shows.
If you don’t see Edit or Delete in an item’s menu, a colleague added it and your Team can change only your own items.
