Approve a large discount

To protect your margins, a draft quote whose overall discount is 20% or more of its value before discount needs an Owner’s approval before anyone can send it. The banner on the draft is the signal; there’s no separate notification, but the quote also shows in the dashboard’s Needs your attention.

Who can do this

Owners only. Discount approval is part of the Approvals module (Settings › Modules). With Approvals switched off, discounts need no approval.

1. Open the draft — Go to Quotes and open the draft. A banner says the quote’s discount is above the business’s approval threshold and needs an owner to approve it before it can be sent.

2. Check the discount — Look over the lines and the Discount in the totals.

3. Approve it — Press Approve discount in the banner. Spine asks Approve this discount? and says it’s approved in your name. Press Approve discount again to confirm.

4. Send it — A toast says Discount approved and “This quote can now be sent.” Send quote now appears for anyone who may send quotes.

What others see

Staff see the same banner, without the Approve discount button, and the quote has no Send quote button until an Owner approves it. In the builder, Save and send is hidden while a discount needs approval. If someone tries to send it anyway, sending is refused with “This quote’s discount requires owner approval before it can be sent”.

Caution

Approval covers the discount you saw. If the draft is edited after approval so the discount grows, the approval is cleared and the quote needs approving again.

The approval is recorded in the quote’s Activity as Discount approved, with who approved it and when.
