Set a monthly AI budget

A monthly budget caps how much AI your business uses, so a cloud provider’s bill never surprises you. AI pauses for everyone when the month’s tokens are used up, and starts again on the first of the next month.

Who can do this

Only Owners.

1. Open the AI settings — Open your user menu, choose Settings, then AI assistant, and find Monthly budget.

2. Enter the budget — Type a whole number of tokens in Tokens a month. Leave it empty for no limit.

3. Save — Press Save. The toast says “Monthly budget saved” and when AI will pause, or that AI has no monthly limit.

See this month’s usage

Under This month, the pane shows the tokens used — against your budget, with the percentage in words — and how many requests were made. Top features and Top people show where most of it went. Before anyone uses AI, it says “No AI requests yet this month.”

Tip

Tokens are how AI providers measure and charge for use. Reading a long bill uses more than drafting a short email. Watch the usage for a month or two before you settle on a budget.

When the budget runs low

• At 80% — Owners get a notification: “AI has used 80% of this month’s budget.” It’s sent once a month.
• At 100% — AI controls stay on screen but are disabled, with “AI is paused until 1 December — this month’s budget is used up.” Forms work as they do without AI. Owners are notified once.

To start AI again before the month ends, raise the budget and save.

Too many requests

One person can make up to 30 AI requests in 10 minutes. After that, they see “Too many AI requests. Try again in a few minutes.”
